In 2017, Think HQ worked with WorkSafe Victoria to deliver a Regional Roadshow event series across Victoria, with the purpose of engaging and informing communities on a range of workplace safety changes.
These included updates to Occupational Health and Safety Regulations and eight new Compliance Codes, while also providing information on WorkSafe’s new strategic direction and upcoming 2017 Health and Safety Month.
Through research with Regional Operations Managers and Senior Team Members, five event locations were identified: Geelong, Mildura, Traralgon, Bendigo and Ballarat.

-Positive feedback collected via a post-event survey
-Securing registrations to Health and Safety Month newsletters.

Concept & creative
Think HQ developed the event concept and theme to give the events a unique identity. This included creating the name and tagline: ‘WorkSafe Victoria Regional Roadshow Series: Safer Work through Community Partnerships.’ Drawing from the event concept, Think HQ produced a range of branded event collateral that was used to promote the event, both on and offline.
Think HQ promoted the events through a range of activity that aimed to drive and maximise attendance. The timeframes were tight, with promotion and ticket sales for the first event commencing only two weeks prior to the event date.
To gain local support and identify additional internal and external communication platforms and channels, Think HQ engaged with local stakeholders including government authorities, councils and business networks, to communicate the benefits of the events. More than 400 stakeholders across the Geelong, Mildura, Traralgon, Bendigo and Ballarat areas were contacted via direct phone call or email and provided with event information, including promotional flyers.
Think HQ developed tailored media relations plans for each event, which sought to leverage the involvement of the keynote speakers- given their high profile. Think HQ also created and distributed a post-event survey through Eventbrite, to measure attendee satisfaction and gain insights for future events - including Health and Safety Month.
Event and speaker management
Think HQ secured all speakers and subject matter experts, including keynotes Cameron Ling and Peter Knights. Tailored emcee briefing and speaking notes were developed, as well as detailed scripts and event slide decks. From sourcing all event spaces, to managing all AV and catering requirements, Think HQ managed each of the five events from start to finish.
Through strategic promotional activity, Think HQ exceeded the project target by 330 per cent with a total of 768 attendees across all five events. Every single event sold out - with all events at full venue capacity.
Think HQ secured media coverage over several platforms including Nova FM, Bay FM, ABC Swan Hill, ABC Bendigo, Mildura Weekly, The Courier and Sunraysia Daily.
Results from the post event survey (completed by 156 attendees) included:
• 91% of attendees reported satisfaction with the event
• This was the first WorkSafe Victoria event attended by almost half of the respondents (46%) • Based on their experience at this event, 92% of respondents are likely to attend another WorkSafe event.
Additionally 84% of survey respondents say they would like to receive more information on Health and Safety Month events, and signed up to the WorkSafe Victoria Newsletter.
